Assets

Each asset belongs to a category, and each category maps to its own GL accounts — so an asset’s purchase, depreciation, and disposal all post to the correct accounts automatically based on what kind of asset it is, not a generic catch-all account.

  • Transfer — move an asset from one location, department, or custodian to another, with a record of who had it and when.
  • Checkout — assign an asset to a specific employee temporarily (a laptop, a vehicle, a tool), distinct from a permanent transfer. Both transfers and checkouts can be routed through Approvals before they take effect.

Log maintenance activity against an asset — scheduled or unscheduled — building a service history tied to the asset record itself rather than a separate spreadsheet.

Assets depreciate against their category’s GL mapping, posting real Accounting journal entries over time rather than only affecting a displayed “book value” number.

Retiring an asset — sold, scrapped, or written off — closes out its remaining book value with a real GL entry, and marks the asset’s history closed rather than deleting the record.
